    We offer an exciting job opportunity for a highly skilled professional to provide administrative and clerical support to the Executive team, Office Services Supervisor and Office Services Department in an efficient and effective manner. 

    Responsibilities

    •Screen, answer and place telephone calls
    •Manage Executives' calendars including but not limited to coordination of travel arrangements, scheduling meetings and teleconferences, ordering and setting up lunch meetings
    •Process invoices, purchase orders and expense reports
    •Create, lead and/or produce various project work, preparation of presentations, mailings, fulfilling promotional requests
    •Creation & management of databases
    •Record meeting minutes as necessary
    •Office supply inventory, checking stock and anticipating needed supplies  
    •Mail distribution
    •Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information, initiating communications
    •Assist in document change control process using the quality management system or alternative system
    •Provide back-up support for the Quality Assurance/Regulatory department activities
    •Support Executive Staff members, Office Services Supervisor, Executive Administrator and Office Services Department as a resource with any administrative, clerical or backup functions such as mailings, organizing lunches, travel itineraries, department coverage, etc.
    •Organize and prioritize workload to meet guidelines
    •Contribute to team effort by accomplishing related results as needed

    Qualifications

    •Minimum of five years’ executive support experience required.
    •Excellent communication, interpersonal and phone skills needed.
    •Strong knowledge of MS Word, Excel, PowerPoint and Outlook required.
    •Proven ability to multi-task, provide attention to detail and be a team player.
    •Ability to maintain confidentiality of all information and high degree of professionalism.
    •Must be able to sit for up to 8 hours per day, view computer monitor and move about effectively to perform the essential functions of the job.
